Program Fees & Booking Policies

TO BOOK OUR OUTREACH TEAM - SCIENCE IN MOTION, YOUR SCHOOL MUST BE AT LEAST 100 KM OUTSIDE EDMONTON.

Science in Motion bookings are organized around a three-day travel week (Tuesday to Thursday).

Requests can be made for 1, 2, or 3 days at any time of the year for either the current or the following school year.

Note: We are often fully booked for the current school year by late fall (November). Most schools book us in the spring for the following school year or at the start of the school year.

We do our very best to get to all schools, but bookings are prioritized on a first-come, first-served basis, followed by which geographic locations we can book a whole travel week—therefore, all requests are considered but not guaranteed. Check out the FAQ below for more information.

In-Person Program Fees
In-person visits are booked for full school days. One presenter will teach 4 programs in one day. Fees include all travel, program costs, and GST.
$700 / per day / per instructor

Assembly surcharge of $50/assembly

Booking Information

A full day of in-person programming includes four assembly, classroom, or mobile planetarium programs.

You can book 1, 2, or 3 days with one presenter.*

1 day = 4 programs

2 days = 8 programs

3 days = 12 programs

You can also book two presenters offering twice the number of programs*

1 day = 8 program

2 days = 16 programs

3 days = 24 programs

Facility Requirements

  • Assembly Programs: A gymnasium or similar large gathering space must be designated for all assembly presentations. Libraries, classrooms, or other small spaces are not appropriate for assembly presentations. The space assigned to the presenter must not be booked for any other use during the hour before the first presentation, and the hour after the last presentation of the day.
  • Classroom Programs: All classroom programs require a suitable teaching space for small group work, access to power and a garbage can. It is helpful to have access to a monitor or smartboard our laptops can connect to.
  • Mobile Planetarium Shows: These programs require a large space to set up the inflatable planetarium dome; 9m x 9m with at least 4m of vertical clearance. Mobile Planetarium Programs must be booked in full morning or afternoon blocks (i.e., a minimum of two shows must be booked) as adequate time must be provided for Planetarium setup and takedown.

Payment Information

  • Upon confirmation of presentation dates, full payment is due within 5 business days to secure the date(s).
  • The amount owing is shown on your booking confirmation.
  • Program fees are as published and are subject to change without notice.

Cancellation Policy

  • Program cancellations received with 8 weeks notice or more will receive a full refund (less a $50 administration fee per presentation day booked).
  • Program cancellations received with less than 8 weeks notice will result in the full program fee being charged.
  • In the event TELUS World of Science is unable to present a program due to inclement weather or other unforeseen circumstances, a full refund will be issued if an alternate date is not available.

FREQUENTLY ASKED QUESTIONS

Find answers to frequently asked questions about our programs outside of Edmonton here.

1. How many students can participate in each program type?

  • For our classroom programs, we allow 30 students per class.
  • For Assembly Presentations, we allow a maximum of 250 students.
  • Our Mobile Planetarium programming can accommodate a maximum of 34 Grades 1-4 students and 30 for Grades 5-12.

2. What is the process for booking an in-person SIM visit to my school?

  • As soon as you know you’d like the SIM team to visit your school, fill out the SIM Programming Request Form. This form will ask for dates and times that you’d like us to visit.
  • Once we have received several request forms, we start scheduling our travelling weeks, taking into account school locations and preferred times for the visit. When we have your week scheduled, we’ll contact you to let you know when we’re coming.
  • At that time, we’ll send you a final confirmation letter and invoice. We’ll get in touch the week before our visit to check in and make sure you’re ready for us!

3. When do I have to pay for my booking? What is your cancellation policy?

4. What can I expect when the SIM team visits my school in person?

  • We’ll arrive 45-60 minutes before the first program of the day. One adult is required to meet us when we arrive so that we can access the room(s) where we’re presenting our programs and get set up.
  • The room(s) you provide for us needs to be reserved for our programs for the hour before the first program all the way to the hour after the last program of the day. Since we’re bringing a lot of program supplies with us (some that require special handling), we can’t have any other programs or classes in the room throughout the day.

5. Do you offer virtual programs?

Yes, we offer standalone Virtual School Programs, taught by our skilled educators remotely to your class.

6. What can I do to ensure that Science in Motion can visit my school?

Science in Motion endeavours to fulfill every request it receives but we do have scheduling restraints that can make it difficult to reach every school.

Booking full days of our programs (2 instructors) or if you are able to book a full week (2 instructors, 3 days of programming each) will make it more likely that our scheduling team is able to find a way to reach your school. If that is not an option, we recommend encouraging nearby schools (within approximately 45 minutes driving distance) to also book programs so that we can fill our schedule in your area.
