Science in Motion Booking Information


To book a Virtual School Program fill out the Online Booking Form.

To book SIM Science Week or to request an in-person visit from the Science in Motion team, fill out the SIM Programming Request Form.

Booking Information:

A full day of in-person programming includes four assembly presentations or four Traveling Nature Exchange programs. Travel charges are listed on the Program Fees page and are subject to change.

Facility Requirements:

  • Assembly Programs: A gymnasium or similar large gathering space must be designated for all assembly presentations. Libraries, classrooms or other small spaces are not appropriate for assembly presentations. The space assigned to the presenter must not be booked for any other use during the hour before the first presentation, and the hour after the last presentation of the day.
  • Traveling Nature Exchange Programs: A classroom or library can be used for the Traveling Nature Exchange. Please note, this program involves outside activities. Students and teachers should dress accordingly.

Program Group Size:

  • In response to COVID-19 Alberta Public Health and Safety Guidelines the maximum number of students in an Assembly Presentation should not exceed one cohort of students.
  • If the school is not using a cohort system, the maximum number of students should not exceed 50 per assembly and students should be physically distanced from each other and from the presenter.
  • The presenter reserves the right to re-seat students in a manner that they determine maintains student and presenter safety and follows Alberta Health guidelines.
  • The maximum number of students in the Travelling Nature Exchange should not exceed 30 students.

Covid-19 information:

  • Science in Motion Education Outreach Specialists are fully vaccinated.
  • Education Outreach Specialists will wear appropriate PPE and maintain physical distance from students and staff. Please follow current gathering guidelines when planning for how many students will be present for each Assembly.
  • The Education Outreach Specialists will conduct health screenings prior to arriving at your school and will participate in necessary health screenings upon arrival.
  • Please notify TELUS World of Science - Edmonton in advance if your school has any further restrictions or guidelines in place that are required at your school.

Fees and Payments:

  • The amount owing is shown on your booking confirmation.
  • Payment can be made by cheque, Visa, MasterCard, or direct deposit.
  • Cheques made payable to: Edmonton Space & Science Foundation. Please write your booking confirmation number on your cheques.
  • Visa or MasterCard payments can be phoned in to our Bookings Office at 780-451-3344. Contact our Bookings Team for direct deposit information.
  • Program fees are as published and are subject to change without notice.

In-Person Programs:

  • Once you have submitted your booking request, and we have confirmed your dates and programs, we will send you a confirmation letter.
  • Full payment is required within ten (10) business days of receiving your booking confirmation.

Virtual Programs:

  • Payment is due in full within five (5) days of receiving your booking confirmation.

1. Are Education Outreach Specialists (SIM Instructors) fully vaccinated?

Yes! All TELUS World of Science – Edmonton staff and volunteers are fully vaccinated against COVID-19.

2. What COVID health protocols will you follow when you visit our school?

  • Education Outreach Specialists will wear masks and maintain physical distance from students and staff. Any teaching materials that are handled by students or staff will be cleaned by Education Outreach Specialists after use.
  • Assembly Presentations must be performed in a gym or large gathering area and the presentation is limited to a maximum of one cohort or 50 students.
  • Education Outreach Specialists will follow any additional health protocols that are in place in your school. Please notify us of any protocols above and beyond those listed here prior to our arrival.

3. Do you offer virtual programs?

Yes, we offer standalone Virtual School Programs, taught by our skilled educators remotely to your class. The SIM team also offers SIM Science Week programs – four days of 45-minute themed sessions complete with fun science challenges.

4. Do you offer in-person programs?

Yes, the SIM Team will be traveling to schools again starting in April 2022, subject to any AHS guidelines and COVID-19 restrictions. The team will be traveling with our new Traveling Nature Exchange program as well as Assembly Presentations. To request a date, fill out the SIM Programming Request Form.

5. How many students can participate in a program at once?

  • For virtual programs, we allow 30 students per class.
  • For in-person Assembly Presentations, one cohort or 50 students can attend at once. This may change as COVID restrictions are adjusted.
  • For in-person Traveling Nature Exchange, one class of up to 30 students can participate at once.

6. How far in advance do I need to book a virtual program?

Virtual programs need to be booked four (4) weeks in advance.

7. What is the process for booking an in-person SIM visit to my school?

  • As soon as you know you’d like the SIM team to visit your school, fill out the SIM Programming Request Form. This form will ask for dates and times that you’d like us to visit.
  • Once we have received several request forms, we start scheduling our travelling weeks, taking into account school locations and preferred times for the visit. When we have your week scheduled, we’ll contact you to let you know when we’re coming.
  • At that time, we’ll send you a final confirmation letter and invoice. We’ll get in touch the week before our visit to check in and make sure you’re ready for us!

8. When do I have to pay for my booking?

  • You need to pay your booking fees in full within 10 days of receiving your confirmation letter.
  • Payment can be made by accessing a secure payment link, Visa or Mastercard, Direct Deposit or cheque.

9. What is your cancelation policy?

  • A booking can only be canceled by emailing our Bookings department at bookings@twose.ca.
  • You can cancel a virtual program with no penalty by giving us 3 weeks’ notice or more. If you cancel with less than 3 weeks’ notice, the full program fee will be charged.
  • You can cancel your in-person SIM visit by giving us 3 weeks’ notice or more. Your booking will be refunded less an Administration Fee of $10 per program on your booking. If you cancel with less than three weeks’ notice, the full program fee will be charged for all programs on your booking.
  • If a school must cancel due to unforeseen circumstances (i.e., COVID-19 outbreak, school closure):
    • Bookings can be rescheduled to a future date during the school year.
    • If the booking is not rescheduled, the booking will be refunded in full, less the $10.00 administration fee.

10. What can I expect when the SIM team visits my school in person?

  • We’ll arrive 45-60 minutes before the first program of the day. One adult is required to meet us when we arrive so that we can access the room(s) where we’re presenting our programs and get set up.
  • The room(s) you provide for us needs to be reserved for our programs for the hour before the first program all the way to the hour after the last program of the day. Because we’re bringing a lot of program supplies with us (some that require special handling), we can’t have any other programs or classes in the room throughout the day.
